Information for Authors

New for 2010 – Please note that the journal now encourages authors to complete their copyright licence to publish form online

GUIDE TO AUTHORS OF ARTICLES, NOTES AND DOCUMENTS

1. Submission of Articles and Notes and Documents
2. Preparation of manuscripts
3. File formats
4. Licence to publish
5. Proofs and offprints
6. Author self-archiving/public access policy

1. SUBMISSION OF ARTICLES AND NOTES AND DOCUMENTS

We now welcome new article submissions via our on-line submissions website ScholarOne Manuscripts. Articles should be submitted according to the instructions for online manuscript submission.

Alternatively, articles may be submitted by email to the Editor, Dr Martin Conway at the editorial office. Authors submitting by email should include an abstract of 200-250 words, and a separate title page with their contact details and acknowledgments.

We do not normally accept unsolicited reviews or Review Articles. The Reviews Editor is always pleased to receive suggestions of individual books for review, or proposals for larger Review Articles.

2. PREPARATION OF MANUSCRIPTS

Authors should submit carefully checked typescripts following the instructions below. It is not necessary for submitting authors to follow EHR house style in detail. Once a paper has been accepted, however, the author(s) will be asked to revise the manuscript in accordance with our style guidelines, which are available for download here.

2.1 Word limits

Articles should not normally exceed 15,000 words, including footnotes; Notes and Documents not more than 7,500 words. An abstract of 200-250 words should also be provided: these appear on the EHR website but not in the printed article.

2.2 Layout

Manuscripts should be typed double-spaced. Tables, maps and photographs should be provided separately but with their position within the text indicated appropriately. Special care should be taken with the formatting of tables and edited texts. Pages should be numbered consecutively throughout in the upper right-hand corner.

2.3 Author details

EHR operates a double-blind refereeing process. The main text of any submission should therefore exclude the name(s) of the author(s), affiliations, and any directly personal references, as well as acknowledgements to those who have read the paper. Instead, a separate title page should give the name, affiliation and both postal and email addresses of the author (or the lead author in the case of jointly-written papers), as well as acknowledgements. Acknowledgements and relevant citation of previous work by the author(s) can be incorporated after a paper has been accepted for publication.

2.4 Titles and section divisions

Titles of articles should be brief but informative. They must give some indication of the period that they deal with (e.g. by date, given in full without truncation, e.g. 1485–1497, or by conventional references, e.g. ‘First World War’, ‘Tudor England’).

Sub-headings are not used in the text of articles, nor are sections numbered. Instead, they may be marked by extra line-spaces.

2.5 Footnotes

Articles and Notes submitted for consideration should give references presented as footnotes at the bottom of each page, using arabic rather than roman numerals in the footnote markers.

2.6 Spelling

UK spelling should be used.

3. FILE FORMATS

Prepare your manuscript, including tables, using a word processing program and save it as a .doc, .rtf or .ps file. If you choose to use our online submission website, all files in these formats will be converted to .pdf format upon submission. Please note: This journal does not accept Microsoft Word 2007 documents at this time. Please use Word's "Save As" option to save your document as an older (.doc) file type. Prepare your figures using applications capable of generating high-resolution files (1200 d.p.i. for line drawings and 300 d.p.i. for colour and half-tone artwork). The printing process requires your figures to be at this resolution if your paper is accepted and printed. For useful information on preparing your figures for publication, go to http://cpc.cadmus.com/da.

Prepare any other files that are to be submitted for review, including any supplementary material. The permitted formats for these files are the same as for manuscripts and figures. Other file types, such as Microsoft Excel spreadsheets and Powerpoint presentations may be uploaded and will form part of the single .pdf file that is created for use in the peer review process. It is also possible to upload LaTeX files but these will not be automatically converted to .pdf format (and are therefore discouraged). The journal staff, editors and reviewers will only be able to view these unconverted files if they have the appropriate software, which cannot be guaranteed.

3.1 File naming

When naming your files, please use simple filenames and avoid special characters and spaces. If you are a Macintosh user, you must also type the three-letter extension at the end of the file name you choose (e.g. .doc, .rtf, .jpg, .gif, .tif, .ppt, .xls, .pdf, .eps, .mov).

The online submission software will automatically create a single .pdf file containing your main text and reduced-resolution versions of any figures you have submitted. This document will be used when your manuscript undergoes peer review. Your submitted files will appear in this .pdf sequentially, as specified by you on the submission page, and you will have an opportunity to enter figure captions/legends and to check the .pdf file prior to final submission. Please make sure that you proof the converted pdf file so no material is missing, and there are no conversion errors.

3.2 Figures

IMPORTANT. As detailed above, your images are required as high-resolution .tif files (1200 d.p.i. for line drawings and 300 d.p.i. for colour and half-tone artwork). If this is not possible, high quality print outs on glossy paper can be used. For useful information on preparing your figures for publication, go to http://cpc.cadmus.com/da. Please note that publication of your manuscript will not proceed until figures suitable for reproduction are received.

3.3 Colour figures

From February 2011, all figures submitted to the journal in colour will be published in colour online at no cost (unless the author specifically requests that their figures be in black and white online). Authors may choose to also publish their figures in colour in the print journal: you will be asked to approve this cost after your article is accepted for publication. Black and white figures will be printed without additional cost, but figures that may be converted from colour to black and white should be well prepared with high contrast, and must have a resolution of at least 300 dots per inch at their final size. Figure captions must be suitably worded to apply to both the print and online versions of the article. If applicable, you will be issued an invoice at the time of publication.

Note: Orders from the UK will be subject to the current UK VAT charge. For orders from elsewhere in the EU you or your institution should account for VAT by way of a reverse charge. Please provide us with your or your institution’s VAT number.

4. LICENCE TO PUBLISH

Authors submitting manuscripts do so on the understanding that the work has not been published previously and, should it be accepted for publication, that the author(s) obtain the necessary permission to use material already protected by copyright. It is a condition of publication in the Journal that authors grant an exclusive licence to Oxford University Press. This ensures that requests from third parties to reproduce articles are handled efficiently and consistently and will also allow the article to be as widely disseminated as possible. Upon receipt of accepted manuscripts at Oxford Journals authors will be invited to complete an online copyright licence to publish form.

5. PROOFS AND OFFPRINTS

Authors of article and Notes and Documents will be expected to check the page proofs and return them to the Articles Editor within two weeks of receipt. Authors will receive a complimentary copy of the issue in which their contribution is published, plus free online access to their paper, and will be able to claim twenty-five free offprints. These can be claimed using the Oxford Journals Author Services site when your paper is sent to production.

6. AUTHOR SELF-ARCHIVING/PUBLIC ACCESS POLICY
